Accounting Specialist II
Colorado Springs, CO
**SUMMARY:** An Accounting Specialist who understands the importance of their role in cost control/cash management while also maintaining HPE s reputation to our internal and external customers. Develops, maintains, and continuously improves effective accounting processes that results in strengthening our accounting systems. Is able to think independently and take appropriate actions to resolve issues and ensure timely resolution and recording of HPE s obligations. Is process and support driven that enables others to focus on their core responsibilities which contribute to the success of HPE.
**Supports the AP Specialist in performing detailed tasks, which could include:**
* Sorting and distributing invoices to proper departments for processing
* Indexing all invoices into Electronic Invoice Processing system
* Receiving and processing of all employee expense reports.
* Ensuring proper and timely approvals runoff expense reporting to reimburse employees timely
* Administer VISA, Home Depot and Lowes accounts including balancing month-end reports.
* Reviewing vendor statements for old and unusual items and following up on exceptions
* Review monthly virtual credit card activity and resolves any outstanding issues
* Assists vendors with payment inquiries and resolution
* Researching discrepancies, creating a solution, and working with Managers and others to resolve in a timely manner
#### **Managing the input and processing of other various requirements into the accounting system by:**
* SheetMetal Fabrication Billings
* J.O.B.S Billings
* Support Chameleon indexing required by Payroll Processing
**Supporting JOB compliance focusing on support to process monthly pay applications:**
* Lien waiver organization support Senior Accountant in managing and tracking down all required vendor lien waivers to provide to General Contractors
* Inventory transfers to ensure job accuracy for billing, stay current on all SM inventory transfers onto job costs reports
* JOB Filing stay current on all job filing to ensure that issues and discrepancies can be researched efficiently
**Develops and maintains effective and efficient document control / information system by:**
* Creating and maintaining and efficient accounts filing systems (both paper and electronic)
* Prompt electronic filing of invoices and other documents for ease of retrieval as required
**Completes other Accounting and general HPE requirements by:**
* Investigating and resolving vendor and/or employee queries
* Assisting in the month end close including follow up on unapproved invoices to ensure their entry into Starbuilder
* Creating and running basic reports as requested
* Other duties as required
* Continued real-time communication of problem/difficult matters with other HPE personnel as they are encountered
**Preparing for Year End by:**
* Gathering documents for auditors as requested
* Facilitating unapproved invoice disposition
* Other job duties as assigned
* Individual must be able to work in a high stress, high performing environment
* Individual should be organized and have the ability to jump in and out of tasks frequently
* Basic general accounting processes, practices, and procedures
* Computers and computer software at an intermediate level (e.g. Microsoft Office Suite, Starbuilder, Acowin, Document Imaging software, etc.)
* Basic business process and procedures complying with standard accounting internal controls
* Gathering and compiling data; sorting and categorizing information; organizing and assembling information for review and approval
* Time management practices in order to prioritize, coordinate, and follow up to meet deadlines
* Disseminating information in a professional and effective manner both written and orally
* Work diligently and accurately on a daily basis
* Taking ownership for completing current and new tasks and projects
* Work independently
* Interact effectively and build relationships with a wide variety of associates internal and external to the Company
* Understanding the implications of situations and uses sound judgment when deciding what to do
* Associates Degree or Certificate in Accounting preferred
* Accounting relevant technical training or equivalent experience typically having 3 or more years of progressive scope and responsibilities
* Construction industry experience a plus
