Job Description
Position: Sales Coordinator / Admin Assistant
Reports to: Manager of Member Development
Status: Full Time Hourly, Non:Exempt

The Sales Coordinator / Admin Assistant will assist the Manager of Member Development with the operation of events and perform receptionist duties for the Association.

Admin Assistant
:Respond to member requests and direct members to other Staff members
:Assist Staff with their duties
Sales Coordinator
Booth sales for the Home and Garden Show, Home Remodeling and Landscape Show, Home Show and Fall Home Show
Advertising sales for the Parade of Homes magazine
:Update membership/events database with contact/directory changes

1. Provide administrative support to the Manager of Member Development
2. Participate in HBA events and activities as requested
3. Other duties may be assigned

Office Administration
1. Perform general receptionist duties (answer telephone, take messages, respond to request)
2. Open, date, and distribute mail
3. Create mailing labels for members upon request
4. Fill orders for signs and publications
5. Keep office equipment in good working condition and schedule maintenance and repairs
6. Maintain master calendar of meetings and events
7. Maintain committee list and update database (responsibility of Manager to provide list)
8. Maintain a clean office environment, including kitchen, workroom and boardroom.
9. Keep refrigerator stocked with water, soda, and beer as used/requested by the Members
10.Conference room scheduling
food/water/soda/juice for meetings as requested
12.Set up conference room tables and chairs in the configuration as needed for the next meeting
13.Update all websites as needed/requested.
14.Other duties as requested

Assistant to Manager of Member Development
:Collection calls to members who are 60 : 120 days past due
:Other duties as requested

Assistant with Membership
:Maintain member files
:Assist with preparation of and mailing of new member packets to new members (including new member certificate, database information, invitation to orientation) and renewing members
:Prepare and mail/email/fax prospective member packets to prospective members
:Other duties as requested

Assistant with Events
1. Process reservations for events (attendance, sponsorships, booths for tradeshows, etc)
2. Process event confirmation (where not automated from WebLink)
3. Other duties as requested

Parade of Homes

Breakfast with the Builders
Builder Product Expo
Annual Membership Reception

Typical office environment for daily operations. Must be available to meet with Members and non:members when they come in the office.
