Senior Office Specialist In this position, you will provide clerical and clerical accounting duties in support of the DFM (Division of the Fire Marshal) Code Services Unit. Essential Job Functions - the basic job duties an employee must be able to perform: * Schedule fire code inspections; maintain calendars of activities, meetings, and other events * Assist with data entry and quality assurance functions for inspections reports * Assist with the issuance of annual and provisional permits * Enter, update, track, and report information stored in various division databases * Support the fiscal responsibilities of the division through invoicing, receiving and processing payments, and completing regular deposits * Serve as backup recording secretary for the Fire Board of Appeals, including collecting and compiling license and agenda information, coordinating and scheduling meetings, and recording/transcribing meeting minutes * Assist DFM customers via walk-in or telephone inquiries; research and process public requests for information/documentation * Provide backup assistance for other DFM support functions * Track, compile, and report division statistics as directed by unit supervisor * Review, research, and summarize a variety of fiscal, statistical, and other information * Serve in ICS Documentation Unit position during planned events and emergent incidents as needed * Assist with compilation and integration of periodic Fire Code adoptions and amendments * Assist CSFD personnel with special projects as assigned We are looking for candidates who demonstrate: * Knowledge of standard office technology; intermediate to advanced knowledge of Microsoft Office Applications, particularly Microsoft Word, Excel, PowerPoint, and Outlook * Knowledge of proper English usage, spelling, punctuation, and grammar * Ability to provide excellent customer service * Ability to learn and apply pertinent City policies and procedures * Ability to communicate clearly and concisely, orally and in writing * Ability to establish and maintain effective working relationships * Ability to manage multiple priorities and deadlines Successful candidate will have: * High school diploma or GED * Three years of full-time clerical or related support experience Ideal candidates will also have: * Experience using PeopleSoft Accounting Systems * Experience managing multiple schedules using Microsoft Outlook * NIMS (National Incident Management Systems) Certifications ICS (Incident Command System) 100, ICS 200, IS (Independent Study) 701, and IS 702 Additional Information This job announcement is not intended to include a complete listing of all responsibilities, knowledge, skills, and abilities associated with the position.
